Tasks

Assign work, track it on a board or a list, and keep it tied to the call it came from.

Tasks are ActiveLens's own to-do list. They live on the Tasks tab of the Active Hub, they can be assigned to anyone in your workspace, and they can stay linked to the call they came out of.

Two views

The switcher in the toolbar flips between them:

  • a list — a table you can sort and scan,
  • a board — columns by status, where you drag a card from one column to the next to move it along.

Your choice is remembered. On a phone the list becomes a stack of cards.

What a task holds

  • A title and a description.
  • An assignee — who is doing it.
  • A status — where it has got to.
  • A due date. A task past its due date and not finished is flagged as overdue.
  • A priority.
  • A checklist for the smaller steps inside it.
  • Optionally, the call it came from, so the conversation is one click away.

Create a task

Press New task on the Tasks tab. Tasks you create by hand are not attached to a call.

Tasks also arrive from calls: an ActiveLens task action on a call drafts one, and it is created when you apply it. That one keeps a link back to the call — and you can switch the link off on the draft if you would rather it stood alone.

Statuses

Every workspace starts with a sensible set of statuses and admins can change them in the Tasks tab: rename them, add your own, reorder them, and delete ones you do not use.

Each status is marked as to do, in progress or done, and that is what the app reasons about:

  • a new task opens in the first to do status,
  • Show completed hides everything in a done status,
  • overdue only counts tasks that are not done.

Deleting a status asks you where its tasks should go first — nothing is left stranded.

Who can see and change a task

  • The person who created it and the current assignee can open and edit it.
  • Workspace admins can see and change every task in the workspace.
  • Other people can be given visibility of a team's tasks; whether they can also edit and reassign depends on the level the admin granted.
  • Only the creator or an admin can delete a task.

An assignee can work on a task and change its status, but cannot hand it to someone else — reassigning belongs to the creator, an admin, or someone granted that level.

Notifications

When a task is assigned to you, or its status changes, you get an email — in your own language, with a link that opens the task. You never get an email about something you did yourself.

Finding tasks

The Tasks tab has the same shape of controls as the Calls tab: search, filter by status, assignee, team or due date, and a Show completed switch. If a teammate sends you a task link it opens the Tasks tab with that task already selected.
