Call summaries and templates

Read, edit and regenerate a summary, and control how it is written with a template.

Every call gets a written summary, drafted from the transcript as soon as the call is processed. You can read it, change it, and change the way the next one is written.

Read and edit the summary

Open a call and the Summary is in the middle of the page. It is an ordinary editable document — click in and type. Your edits are saved with the call and are what other people see.

Above the summary you will find:

  • Regenerate — throw the current draft away and write a new one from the transcript. Use it after you have corrected speaker names or the call was still processing when you first looked.
  • Refine — tell ActiveLens what to change in plain language ("shorter", "focus on the pricing discussion", "add the objections they raised") instead of rewriting it yourself.
  • Notes — your own notes on the call. You can have them merged into the summary or kept separate underneath it.

Editing the summary never changes the transcript, and regenerating the summary never changes your notes.

Summary templates

A template decides what a summary contains and how it reads. It holds:

  • Instructions — what to cover and what to leave out. "Always list the objections." "Open with the customer's stated goal."
  • A writing style — length, format and tone. Tight bullets for a standing internal call, prose for a client-facing recap.
  • Context (optional) — the vocabulary of your business: product names, team names, abbreviations. Adding it stops the summary guessing at words it has never seen.

Pick a template from the strip above the summary on any call. The one the current draft was written with is highlighted.

Make a template your default

The star on a template makes it your preferred one — every summary written for your calls uses it from then on. Click the star again to unset it.

Workspace admins can go further:

  • a company default that applies to everyone who has not chosen their own,
  • a team default for a particular team.

A summary uses the first of these that applies: your preferred template, then your team's default, then the company default, then a plain summary.

Create and share templates

Open Summary templates from the sidebar, or Manage templates from the strip on a call. From there you can create a template, duplicate an existing one to start from, and edit the instructions and style.

A template you create is private to you. You can share it:

  • with a team — the people in that team can use it,
  • with the whole workspace — anyone can use it. Sharing with the whole workspace is an admin action.

Narrowing the sharing again, or deleting a template, clears any defaults that were pointing at it. The app tells you before that happens.

Get the summary by email

If you would rather read the summary in your inbox, turn it on in Settings → Notifications. You can also choose who else receives it: just you, your team, everyone from your company who was on the call, or everyone on the call.
